The office

Quoting and invoicing software for trades

Send quotes, book jobs in the diary and raise invoices from the same customer record. Office staff work with the same records as your app. Website enquiries arrive ready to pick up. You can see what’s booked, what’s owed and what needs chasing.

Every screen here is the software as it ships, photographed on a demo firm. The names, jobs and numbers are invented.

the office
The office dashboard: outstanding, overdue and paid this month, with today's schedule and the newest enquiries

One job, start to finish

Nothing below is retyped from anything above it

The enquiry becomes the quote, the quote becomes the job, and the job becomes the invoice. Same records the whole way down.

It arrives typed in

A customer fills the form in on your website and it lands here, with where it came from. Google, Facebook, a referral. So you can stop paying for the one that never brings anything.

the office / enquiries
The enquiries screen: every lead in one list with its source, age and status

It becomes a quote

Priced line by line off your own price list, with a scope of works you wrote once and reuse. Send it and the customer accepts it online, and you know the moment they do.

the office / quotes
A quote being edited: a scope of works and line items priced individually

With the sums done

Quantities, unit prices, the VAT and the deposit, worked out as you go. The photos your lad took on the survey go on the same quote, so the customer can see the roof you are talking about.

the office / quotes
The money half of a quote: line items with quantities and unit prices, the subtotal, the VAT and the total

It becomes a job

Every job with its customer, its site, its value and where it stands. The one that needs attention says so, so nothing sits quietly waiting to be remembered.

the office / jobs
The jobs list: every job with its customer, address, status and value

It becomes an invoice

Mark the job done and a draft invoice is raised off the accepted quote, with the VAT and the totals worked out. A finished job cannot go quietly un-billed.

the office / invoices
An invoice: line items, VAT and the totals worked out

The other end of it

What your customer opens

Your name on it, your photos of the actual roof, and a button. No login, no portal, no PDF they have to print and sign. They tap accept and it says so on your screen.

the customer sees this
A quotation as the customer sees it: the firm's branding, photographs of the job and an accept button

The quote

What the job is, what it costs, and what the guarantee is.

the customer sees this
An invoice as the customer sees it, with the work listed and the amount owed

The invoice

The same document, after the work. It follows on from the quote they accepted.

Who is on what

Plan the work across your staff

A column per person, with the day laid out below. Book a visit and the assigned staff can pick it up in the app when connected.

See where there is room for another job. Access to the wider diary is set around each person’s role.

While you are on a roof

The chasing happens whether you remember or not

Here's the actual timetable. Not "automated reminders", the hours it runs at, so you can check it against what turns up in your inbox.

The Monday email refuses to send you a wall of zeros. If there's nothing owed and nothing happened, it stays quiet.

02:20
Anything past its due date flips to overdue, on your local date rather than a server’s.
08:00
Reminders go out on the invoices that are still owed.
09:00
Quotes get chased, three days after you sent them and again at seven.
10:00
A finished, paid job asks the customer for a review.
Evenings
Tomorrow’s customers get a reminder that you are coming.
Monday 07:00
You get an email: new enquiries, quotes and invoices raised, money in, and what is still outstanding.

A quote chase needs the customer's email address. No address, no chase, and the quote sits in the list waiting for you instead.

The number you keep working out

What's out, what's in, what's late

What you've quoted and not heard back on. What's been accepted and not started. What's been done and not paid for. It's the sum you'd otherwise be doing on the back of an envelope on a Sunday night.

Each job can show estimated profit alongside what it billed. The figures depend on logged time, priced materials and the labour rate you set.

the office / sales
The sales screen: quotes out, accepted, expiring soon and rejected, each with its total

Two years later

The whole customer, on one screen

Every property, every job at each one, what's been paid and what's outstanding. They ring about the same roof two years on and the history is already in front of you. Including the photos your lad took at the time.

the office / customers
A customer record: their properties, the jobs at each one, and what has been paid

Set up once

Your prices and your wording, not a blank box

Quoting is quicker when the pricing and the wording are already in there. We put them in together when I build it, and you change them whenever your merchant does.

the office / price list
The price list: every item with its unit and its price

Your price list

The things you fit, at what they cost, by the metre or the job.

the office / scopes of works
Scopes of works: reusable descriptions of a job, ready to drop into a quote

Your scopes of works

How you describe a re-roof, written once and dropped into every quote for one.

Your business, your way of working

You don’t need an office.
You don’t have to work alone.

01

Run it from your phone

Manage enquiries, customers, quotes, jobs and invoices in the app. You can have staff without having an office.

02

Give staff the access they need

Add the people who work with you. I set up roles and permissions around their jobs, including who can see or manage the money.

03

Use the office when it suits you

Work at a desk when you want more screen space. Office staff and app users share the same records, so changes stay together.

Same full system. Same price. No charge per user.

Two ways in, one system underneath

The system or the website.

The full system includes the app, office access, website and SEO. Choose the website option if that’s all you need now.

Both work for an owner on their own or a business with staff. I agree the setup before work starts. Larger migrations and custom work are quoted separately.
